This document is subject to change. The most recent version of our Terms of Service will be available on our website at all times. By booking a tutoring session with us, you agree to the terms outlined in this document in full.

  1. Definitions

    1. “Science Support WA” is a science tutoring business providing online and in person tutoring services to students throughout Western Australia using resources designed by Science Support WA to align with the Western Australian SCSA curriculum.
    2. “School Curriculum and Standards Authority of Western Australia (SCSA)” is the peak government body responsible for regulating the syllabus material to be taught in all Western Australian schools to all Western Australian students.
    3. “Student” refers to the child who will receive tutoring services.
    4. “Parent / Carer” refers to the legal parent or guardian who has engaged Science Support WA’s tutoring services.
    5. “Tutoring services” is the activity of receiving support in learning the Science curriculum through a range of activities including but not limited to discussions, videos, presentations, practice questions and learning activities alongside appropriate and timely feedback for academic improvement from the educator.
    6. “Educator” refers to the tutor providing the tutoring services.
    7. A “school term” is defined as period of time in which the Department of Education WA had mandated students attend school based education throughout the year as outlined on the Department’s Term Dates page found at the following URL: https://www.education.wa.edu.au/future-term-dates
    8. A “casual booking” is defined as booking one tutoring session at any given time with no repeating sessions booked concurrently.
    9. A “term booking” is defined as a series of the same type of tutoring sessions booked concurrently and running throughout the school term.
    10. “Online” refers to tutoring sessions provided using the Zoom platform by accessing a web-based video call and digitally provided resources through Google Drive
    11. “In Person” refers to tutoring sessions provided in the same physical space which can include but is not limited to the student’s home, public library, or public café.
    12. A “group booking” is defined as any tutoring session where more than one student engages in tutoring at the same time in the same format.

  2. Scope of Service

    1. Availability

      1. Tutoring Services

        1. Tutoring services in person will be available from the first day of a school term until the last day of a school term.

          1. If a student’s regular in person tutoring session falls after the conclusion of a school term, parents / carers and / or students will work with the Educator to find another suitable day and time to schedule the same session type at no cost to the client.

        2. Tutoring services online will be available from the Monday of the week a school term starts until the Sunday directly following the conclusion of a school term.
        3. Tutoring services will not be available on public holidays or holidays falling on a weekend day.

          1. If a student’s regular tutoring session falls on a public holiday or day of celebration, parents / carers and / or students will work with the Educator to find another suitable day and time to schedule the same session type at no cost to the client.

      2. Office Hours

        1. Regular office hours are 9:00 am to 1:00 pm, Tuesday to Thursday each week throughout the year with exception.

          1. Office hours will be closed throughout the two-week Christmas / New Year period.

        2. Phone calls will not be taken outside of office hours. The educator will get back to you the following business day if you leave a voicemail or SMS.

    2. Casual Bookings 

      1. Casual booking sessions are available to new and existing students throughout the school terms. 
      2. Casual bookings can be booked as group bookings. See 7.1. for further details on group bookings. 

    3. Term Bookings 

      1. A term booking consists of 8 – 10 sessions. 

        1. If less than 8 sessions of a term booking are completed within a term, the term booking price will no longer apply. In this situation; 

          1. If the term booking has been paid in full, each completed session will be charged at the casual booking rate for the specified session format and length. 
          2. The difference between the new price for sessions completed compared to the original term booking price paid will be refunded to the client. 
          3. If the term booking is being paid on a payment plan, an invoice will be issued with the updated price owing at the casual rate.  

      2. A term booking can be booked prior to the term commencing or within the first two weeks of the term.  
      3. Term bookings are available to new and existing students. 
      4. Term bookings are available in all session formats and lengths. 
      5. Term bookings are available as group bookings. See 7.1 for further details on group bookings. 
      6. Students completing a term booking will be entitled to the following additional items at no extra cost; 

        1. Student Planning Book: In Person session – Print or Online sessions – Digital 
        2. All tutoring resources related to the content covered within the term (Google Drive) 
        3. A welcome pack of Science Support WA merchandise including a highlighter-pen and logo sticker. 

      7. Google Drive access will be terminated three months after the conclusion of a term booking. To maintain access to tutoring resources, a USB can be purchased containing the tutoring materials at an additional cost for postage and handling.

    4. Duration of Sessions 

      1. Sessions are offered in three different durations. 

        1. 1 hour 
        2. 1.5 hours 
        3. 2 hours 

      2. Shorter or longer sessions are not available at this time. 
      3. All sessions will be ended promptly at the prearranged time. 

    5. Online Tutoring Services 

      1. Student email must be provided to receive the Zoom meeting and Google Drive links promptly. This can be a school or personal email address. 
      2. Students will not need a login to access the Zoom meeting at this time. 
      3. Online recordings of the sessions will be available for students to review within 1 business day after the session.  

    6. In Person Tutoring Services 

      1. Resources for activities conducted throughout sessions will be provided to students as printed copies for completion. 

    7. Feedback 

      1. It is the responsibility of the educator to provide timely, effective, and appropriate feedback to the student and the parent / carer. 
      2. Verbal feedback will be informally provided to the student throughout and at the end of each session. 
      3. Formal feedback will be provided based on the agreed upon terms at the time of booking.  

        1. The format of formal feedback can be any of the following options. 

          1. Written and provided as a physical paper copy. 
          2. Written and provided in an email. 
          3. Verbally provided in a pre-arranged phone call.  

        2. Formal feedback can be provided to; 

          1. The student 
          2. The parent / carer 
          3. Both the student and the parent / carer 

        3. Formal feedback requires deeper analysis of student progress and understanding to be effective and meaningful. As such, formal feedback can be provided over the following time frames; 

          1. Within 5 business days following the session – Available for casual bookings only. 
          2. After every two sessions. 
          3. After every five sessions. 
          4. At the conclusion of a term booking, after 10 sessions. 

      4. Feedback for Student Concerns 

        1. If at any point throughout the tutoring services, the educator feels that the student is showing concerning progress, disinterest in the sessions, inappropriate behaviour or is showing signs of mental or physical concern, the educator will provide immediate feedback to the parent / carer with a phone call within 1 business day of the session.

    8. Content 

      1. The provision of this tutoring service is for the SCSA learning area of Science. 
      2. The provision of this tutoring service is for year 7 – 12 students. 

        1. Relating to year 11 and 12 students, the educator is qualified to teach the subject areas of ATAR Chemistry, ATAR Human Biology and ATAR Psychology.  

          1. Any ATAR science subjects outside of the scope of subjects outlined above in 2.8.2.1 cannot be provided by Science Support WA at this time. 

        2. Relating to year 7 – 10 students, the educator is qualified to teach all areas of science including biological sciences, chemical sciences, earth and space sciences, physical sciences, and science inquiry skills.  

      3. The provision of this tutoring service is not to assist students in completing specific assessment tasks. Assessment completion must be done outside of tutoring time using  student’s own skills and knowledge and by their own volition.

  3. Privacy Policy 

    1. Personal Information 

      1. Personal information collected in the course of tuition booking, payment and sessions may include; 

        1. First and last name of parent / carer and student 
        2. Email addresses of parent / carer and student 
        3. Grade of student 
        4. Physical address – when provided as the location of tuition 
        5. Phone number of parent / carer 

      2. Personal information is collected via the Amelia Booking Plugin on our website and is stored within the Amelia Booking system.  
      3. Personal information stored within the Amelia Booking Plugin may be shared with the educators; 

        1. Zoom account to arrange online sessions 
        2. Google Calendar to set calendar reminders for future sessions 
        3. Google Drive to share a shared folder for tuition resources with the student 
        4. Stripe payment gateway to set up customer information for invoicing. 

      4. All services that personal data is shared with are password protected servers with no external access from peoples outside of Science Support WA.  

    2. Financial Information 

      1. Financial information collected in the course of tuition booking and payment processes may include; 

        1. First and last name of parent / carer 
        2. Email address of parent / carer 
        3. Billing address of parent / carer 
        4. Credit card / Debit card details of parent / carer 

      2. Financial information which overlaps with personal information is collected via the Amelia Booking Plugin on our website at the time of booking. 
      3. Credit card / Debit card information is provided directly by the client to Stripe Payments when the client is paying an invoice online.  

        1. Card details are stored securely within the Stripe Payment system and cannot be seen or accessed by the educator.  
        2. Card information cannot be used to charge any amount to the client’s account without the consent of the client to authorise direct debits.

      4. Financial information provided through Stripe Payment Gateway is not shared with any other service.

    3. Medical Information 

      1. For students receiving in person tuition, appropriate medical information may need to be provided to the tutor related to any condition that the tutor may need to be aware of during the provision of services.  
      2. Medical information related to behavioural, learning or processing disorders that may influence the way a student learns, processes information, or behaves during tuition may be provided to the educator. 
      3. All medical information will remain confidential and securely stored as part of our client notes in the Amelia Booking Plugin.  
      4. Medical information is not shared with any other service or platform and is not accessible for any peoples outside of Science Support WA. 

    4. Educational Information 

      1. Educational information is information collected throughout the booking process and over the course of tuition. This may include; 

        1. The student’s school 
        2. The student’s course outline and class activities at school 
        3. The student’s educational goals and current confidence and / or ability levels with the subject. 
        4. Ongoing data regarding student progress, feedback, practice test scores etc. 

      2. Education information is stored within the educator’s password protected OneDrive files which is not accessible to any peoples outside of Science Support WA and is not shared with any other services or platforms. 
      3. Education information is collected and used to provide feedback on student progress to the parent / carer and student in understanding areas of improvement, what to focus on and to inform the direction of future tutoring activities.

  4. Child Protection and Safety 

    1. Working with Children Check 

      1. The educator will maintain a current Working with Children Card and always carry this card on their person while undertaking tutoring services. 
      2. Parents / carers and students can request to see the card as evidence of a completed and approved Working with Children Check at any point in time throughout the provision of tutoring services.  

    2. Within Sight and Sound 

      1. In Person Sessions 

        1. A parent / carer or nominated responsible adult must be home at all times when tutoring is conducted in a student’s home.  

          1. If a parent / carer or nominated responsible adult is not home when the educator arrives, the educator will reschedule the session. 
          2. A late notice rescheduling fee will apply. 

        2. Tutoring in the home should be conducted within sight and sound of a parent / carer or nominated responsible adult. Tutoring cannot occur in a student’s bedroom or other closed room which is not within sight and sound of a parent / carer or nominated responsible adult.  
        3. In person tutoring conducted outside of the home is to be conducted in open, visible, public spaces.  

          1. The location of these sessions is to be predetermined with the parent / carer.  
          2. The parent / carer is responsible for ensuring the student arrives to and from the predetermined location safely. 
          3. The parent / carer is encouraged to remain in the same public space for the duration of the session within sight and sound of the student.  

      2. Online Sessions 

        1. Preferentially a parent / carer or nominated responsible adult should be within sight and sound of the student at all times when tutoring is conducted online. 
        2. Understanding that this is not always possible due to background noise in common areas of the home interrupting the learning of the student engaging in online tutoring, recordings of each session will be kept by the educator. 

          1. The parent / carer can request to review these recordings at any point in time. 
          2. Upon advanced request, the session recordings can be sent to the parent / carer after each session. 

        3. Recordings will be taken of the meeting using the Zoom platform and will record any audio, video and screen sharing elements of the session.

  5. Payments 

    1. Payment Processing 

      1. For bookings made prior to 15/04/2024, payments will be processed using payment invoices sent to the client provided email address. 

        1. Invoices for all casual bookings made prior to 15/04/2024 will be emailed on 15/04/2024. 
        2. The first invoice for all term bookings made prior to 15/04/2024 will be emailed on 15/04/2024 and all following invoices will be emailed on Monday based on the payment schedule selected by the client in the booking process. 
        3. Payment schedule options for term bookings include: 

          1. Weekly 
          2. Fortnightly 
          3. Monthly or 
          4. Pay in full at the start of term (15/04/2024) 

        4. Emailed invoices will provide the following payment options for clients: 

          1. Card Payment 
          2. Payment Link 

        5. All invoices will have 7 days until payment is due from the date of issue.  
        6. Upon successful payment, you will be able to download a copy of your receipt from the online payment gateway. 
        7. Unsuccessful payment of an invoice by the due date will incur an additional late payment fee (see 5.2.1.1) and further legal action may be taken to retrieve the payment. Tutoring services may be suspended until payment is made. Upon successful late payment, tutoring services will resume and any missed sessions will be rescheduled.

    2. Fee Payments 

      1. Fees and charges are applied to accounts based on the fee schedule described below in section 5.2.1.1 and charges table described below in section 5.2.1.2.

        1. The fees schedule is outlined in the table below:

            Late Notice Rescheduling Fee  $15.00 Session Incurs when a session is rescheduled by the client with less than 24 hours’ notice.

        2. The charges table is outlined below:

            Group Booking Charge – Year 11-12 $50.00 ea / additional student Session or Term Booking Incurs when a group booking is made for 2 – 4 year 11-12 students. 

      2. If a fee is applied to your account, you will be charged that fee based on the fee scheduled described in section 5.2.1.1. 

        1. In the case that a fee is applied to your account, you will be emailed a separate invoice within 48 hours of incurring the fee. 

          1. Invoice terms outlined in sections 5.1.1.4 – 5.1.1.7 apply to fee invoices. 

      3. Charges are applied to your account as outlined in the charges table in section 5.2.1.2 and described in section 7.1. 

        1. The cost of charges is split equally between all clients participating in a group booking. 
        2. Separate payment invoices are generated for each client participating in a group booking. 

          1. Each client invoice will display their individual share of the additional student charges and the session cost. 
          2. Fees will be charged to individual clients as described in the fee schedule in section 5.2.1.1.

    3. Refunds 

      1. Refunds may be given in circumstances outlined in sections 7.3 and 9.2 and in accordance with the fee payment schedule outlined in 5.2.1.1. 
      2. If a refund is granted and we have your card details on file, we will automatically issue the appropriate refund to that card and issue you with a receipt. 
      3. If a refund is granted and we do not have your card details on file, we will email you to confirm which account or card you would like to receive your refund and issue you the refund using the provided details. You will then receive a receipt confirming your refund.

  6. User Content

    1. School Resources 

      1. Any school recourses provided to the tutor over the course of tuition will always remain the property of the named school. 
      2. These resources will not be reproduced or distributed to any other clients. 
      3. These resources will remain stored within the password protected Science Support WA OneDrive for the purposes of informing the tutor of school progress through the curriculum and depth of teaching and learning to ensure the educator is supporting the mandated curriculum in line with school teaching. 

    2. Student Resources 

      1. Any resources created by the student and shared with the educator over the course of tuition will remain the property of the student. 

        1. Physical resources will be returned to the student at the cessation of the booking. 
        2. Digital resources will not be stored by the tutor after completing the agreed upon learning task with the student. 

    3. Science Support WA Resources 

      1. Original, digital, or printed resources created by Science Support WA will always remain the intellectual property of Science Support WA.  
      2. Any copies of tutor provided resources that are completed by the student e.g. worksheets, tasks, activities, or practice tests will become the property of the student at the cessation of the booking.  

        1. The original copies of tutor provided resources must not be redistributed, edited, or modified.  
        2. The student may use the original, unedited copies of tutor provided resources to reattempt tasks after the cessation of tutoring.

  7. Modifications of the Service

    1. Group Bookings

      1. All sessions can be booked as a group booking instead of a 1 on 1 tutoring session.
      2. Maximum student capacities apply to group bookings.

        1. Group bookings for year 7 – 10 sessions are offered for 2 – 5 students.
        2. Group bookings for year 11 and 12 ATAR sessions are offered for 2 – 4 students.

      3. Additional fees apply to group bookings to account for additional resources required and more advanced planning by the tutor to support all students involved.

        1. Each additional student booked for a year 7 – 10 group booking will incur an additional $40 fee to the session price.
        2. Each additional student booked for a year 11 – 12 ATAR group booking will incur an additional $50 fee to the session price.
        3. See section 5.2.3 for further information of group booking payments.

    2. Rescheduling a Session

      1. Clients may reschedule a session by getting in direct contact with the educator.

        1. The decision to allow a session to be rescheduled and whether fees apply is at the discretion of the educator.
        2. In situations where the child becomes ill or an emergency arises preventing the child from attending their scheduled session within the 24-hour period, the educator will aim to avoid applying fees to your account, provided an effort has been made to notify the educator of the situation at your earliest convenience.

      2. Clients may request a rescheduled session with no additional fees or charges applied to their account if more than 24 hours notice is provided.
      3. If a client requests a rescheduled session within the 24-hour period and the above clause 7.2.1.2 does not apply, a late notice rescheduling fee will be applied to your account and charged as outlined in section 5.2.1.1.
      4. Once a session reschedule is requested, the next available time for the given session type will be offered.

        1. The educator will make every effort to provide a rescheduled session within the same school week.
        2. In the situation that all available sessions are booked for the provided school week, the reschedule session may be booked in the following school week.

          • In this instance, the invoice for the missed week will be voided and is not payable by the client.
          • An invoice will be issued for the following week for two scheduled sessions.

    3. Cancellation of a Session

      1. Clients may cancel a session by getting in direct contact with the educator.
      2. Clients may cancel a session with no additional fees or charges applied to their account if more than 48 hours’ notice is provided.

        1. In this instance, the invoice for the missed week will be voided and is not payable by the client.

      3. If a client cancels a session within the 48-hour period, a late notice cancellation fee will be applied to your account and charged as outlined in section 5.2.2.
      4. A partial refund will be granted in the event of a cancellation when a term booking has been prepaid less any fees owing.

  8. Behaviour and Engagement 

    1. Educator 

      1. The educator will maintain polite, respectful, and professional communication and engagement with all parties at all times.  
      2. The educator will refrain from using mobile devices during tutoring sessions except in the exemptions outlined below. 

        1. Exemption – personal emergency e.g. childcare requirements or family emergency. 
        2. Exemption – Using the device in the course of tutoring e.g. as a calculator or demonstrating an educational tool or app on the mobile device. 

      3. The educator will use professional lines of communication with the client and the student for all communications throughout the course of tuition. 

        1. Client communication will be accomplished via phone call, email, SMS or WhatsApp based on the agree upon forms of communication between the educator and the client. 
        2. Student communication will be accomplished via email where the student needs to be contacted directly regarding their work, resources, or feedback. All other communication to the student will be given to the parent / carer as the client. 

      4. The educator will arrive at / log on to all tuition sessions 5 – 10 minutes prior to the session start time. 

        1. In the event that the educator cannot attend a tuition session due to illness, carers leave or emergency; 

          1. The educator will notify the parent / carer at the earliest convenience and arrange a rescheduled session. 
          2. No additional fees will be incurred by the client. 

    2. Student 

      1. Students are expected to maintain appropriate, respectful, polite, and professional behaviour and engagement throughout the course of tuition and via communication channels with the educator.  
      2. The student should be available for their scheduled tuition session at the predetermined start time. 

        • If a student is more than 10 minutes late to a scheduled session, the educator reserves the right to cancel the session and charge a late notice cancellation fee as outlined in section 5.2.1.1. 
        • If a student is aware that they will be late to a session, they should notify the educator as soon as possible. 

          • Failure to notify the educator may result in cancellation of the session and incur late notice cancellation or rescheduling fees as appropriate.  

      3. Behaviour or engagement that is considered inappropriate or unproductive for tutoring will be communicated to the parent / carer following the session. 

        1. Behaviour that is considered inappropriate or unproductive may include but is not limited to; 

          1. Not attempting tasks / completing activities instructed during tuition sessions. 
          2. Ignoring the instructions of the educator. 
          3. Use of a mobile device throughout sessions which is not related to the completion of tuition work. 

        2. Repeated inappropriate behaviour or engagement across sessions in a term booking may result in the educator terminating the booking. 

          1. Educator terminated bookings due to repeated inappropriate behaviour or engagement will incur an early cancellation fee – term booking as outlined in the fee schedule (see 5.2.1.1). 

      4. Behaviour that is considered threatening will not be tolerated and will result in immediate cancellation of the session. Serious threatening behaviour may be reported to Police where appropriate to do so. 

        1. Behaviour that is considered threatening may include but is not limited to; 

          1. Swearing 
          2. Abusive or derogatory language 
          3. Threatening gestures 
          4. Physical confrontation 
          5. Displays of aggression towards the educator 
          6. Assault 

        2. When threatening behaviour is displayed, the educator will cancel the session and immediately; 

          1. Notify the parent / carer present and leave the premises if tutoring is being conducted at the student’s home. 
          2. Call to notify the parent / carer and await their arrival at a safe but visible distance from the student if tutoring is being conducted in a public place. 
          3. End the Zoom session and call to notify the parent / carer if tutoring is being conducted online.  

        3. Tutoring sessions that are cancelled due to threatening student behaviour will incur a late notice cancellation fee as outlined in section 5.2.1.1. 
        4. A review of the sessions will be conducted between the educator and the parent / carer following a threatening incident where all parties will come to an agreement as to whether future sessions can continue or should be cancelled.  

          1. In the case that sessions are to continue, the educator may request that the parent / carer remains with the student at all times throughout the tuition sessions or suggests other appropriate safety measures.  
          2. In the case that future sessions are cancelled, an early cancellation fee – term bookings will be applied. As a late notice cancellation fee has already been applied, only the remaining difference will be charged in the second instance. 

    3. Parent / Carer 

      1. Parents / carers are expected to maintain appropriate, respectful, polite, and professional behaviour and engagement with the educator at all times. 
      2. Behaviour or communications that are considered inappropriate or threatening will not be tolerated and may result in the cancellation of future or current bookings.  

        1. Behaviour that is considered inappropriate may include but is not limited to; 

          1. Communications of a personal nature not related to the provision of our services or the progress of your child. 
          2. Providing an apathetic response to the requests of the educator when student behaviour and / or engagement is not meeting expectations. 
          3. Failing to follow guidelines set out in this document such as section 4.2. 

        2. Behaviour that is considered threatening as outlined in section 8.2.3.1. 
        3. The educator reserves the right to cancel any current or future sessions at their own discretion due to parent / carer inappropriate or threatening behaviour.

  9. Termination of Service 

    1. Cessation of Booking 

      1. Casual bookings will naturally cease after 1 session.  

        1. No future payments will be invoiced after the cessation of the casual booking. 
        2. Future casual bookings will need to be booked and paid for separately as casual bookings are not recurring. 

      2. Term bookings will naturally cease after the last scheduled booking. 

        1. The length of a term booking is determined during the booking process when the client specifies the number of sessions they wish to book in a term and whether these sessions are weekly or fortnightly. 

          1. 8 – 10 sessions can be booked weekly and will naturally cease at the conclusion of the final weekly booking. 
          2. 4 – 5 sessions can be booked fortnightly and will naturally cease at the conclusion of the final fortnightly booking. 

        2. No future payments will be invoiced after the cessation of the term booking. 
        3. Future term bookings will need to be booked and paid for in a separate invoicing and payment schedule for the following term. 

    2. Early Cancellation of Term Booking 

      1. Early cancellation of a term booking can be requested by the client if: 

        1. The student is no longer able to participate in tuition. 
        2. The parent / carer deems tuition no longer necessary for the student. 
        3. Financial hardship prevents the client from being able to pay future tuition invoices. 

      2. Early cancellation of a term booking may be instigated by the educator in the situations outlined in sections 8.2.2.2, 8.2.3.4 and 8.3.2. 
      3. Early cancellation of a term booking by either client request or by the educator will incur early cancellation fees as outlined in the fees schedule (see 5.2.1.1).  
      4. A partial refund may be granted where a term booking is prepaid less any fees owing.

  10. General Terms and Conditions 

    1. The educator is not liable for any loss, injury or damage arising from the use of Science Support WA tutoring services. 
    2. Clients agree to indemnify and hold harmless the educator against any claims, liabilities, damages, or expenses arising from the use of Science Support WA tutoring services. 
    3. The educator makes no warranties, express or implied, regarding the quality accuracy and reliability or suitability of the tutoring services provided. 
    4. Clients acknowledge that tutoring results may vary and are dependent on factors including but not limited to student effort, ability, and external circumstances. 
    5. Any disputes arising from these terms of service will be resolved through mediation or arbitration, as determined by both parties. 
    6. These terms of service are subject to change at the discretion of the educator with notice to the clients.
